We’re looking for a Launch & Programme Assistant to help run and grow The Art Ladder, our online mentoring programme for artists. This is a hands-on role combining backend systems management (Kajabi), email and automations, video editing, and social media, with a clear focus on keeping the programme running smoothly and delivering a seamless experience for artists.

Your Role
As Launch & Programme Assistant, you’ll play a key role in helping us run and promote The Art Ladder, our online mentoring programme for artists.
You’ll work closely with Marine Costello, who leads the programme, and will be responsible for managing its operational and technical backend (in Kajabi) as well as supporting its visibility and growth across our website, email and social media.
You’ll ensure that emails, onboarding, replays, etc. run smoothly and reliably, while also helping bring content to life: editing videos, scheduling posts, and maintaining a consistent presence online.
This is a hands-on, varied role combining systems management and content creation, with a clear goal: making The Art Ladder mentoring programme seamless for artists to join and experience.
The role includes daily check-ins for emails and programme activity, as well as availability during live sessions (typically twice per month between 5pm and 6pm UK time) to answer any emails from artists who have questions or issues joining the sessions.

As our Launch & Programme Assistant, you’ll play a key role in both: ensuring the programme runs seamlessly from a technical point of view, while helping bring our content and communications to life so the programme continues to grow.
What we’re looking for
- Good video editing (on Descript or equivalent software)
- Experience running social media accounts (especially Instagram)
- Confidence managing email sequences, tags, offers and automations
- Comfortable owning the technical backend processes, keeping the system organised and reliable to run
- Excellent written communication (emails, social media, website, etc.)
- A knack for optimising, simplifying, and reducing friction
- Calm, detail-oriented, and solution-focused
- Experience working on an education programme, online course, coaching or similar offering, using Kajabi or a comparable platform
An interest in supporting artists, with an understanding of their needs and how programmes like The Art Ladder can help them navigate the art world
What A Typical Month Looks Like
You’ll be responsible for making sure artists always know what’s happening; and that the systems behind the programme work smoothly behind the scenes.Â
A typical month will include:Â
Running our ongoing mentoring programme:
- Sending emails with the upcoming programme so artists know what’s coming up
- Keeping the programme page on our website up to date
- Booking our guest speakers, setting up the Zoom webinar, sharing links with guest speakers and artists, and scheduling reminder emails on the day of the session (morning, afternoon, and go-live)
- Managing the Google Forms for artist to send their questions and ensuring they’re linked in relevant emails
- Answering day-to-day emails from artists and prospective subscribers / mentees (login, access, upgrades, one-to-one session bookings, registration deadlines, cancellations, etc.)
Editing monthly video content:
- Editing at least two 60 to 90 mins recordings per month
- Uploading these recordings to Kajabi for The Art Ladder's subscribers
- Creating shorter excerpts of the recordings to post on YouTube (approx. 10 minutes)
- Emailing excerpts to our email list (and full recordings to The Art Ladder’s subscribers)
Supporting content and promotion across our social media channels:
- Posting daily on Instagram (@artistmentoring)
- Posting twice a month on YouTube (The Art Ladder)
- Sharing highlights with our email list (YouTube excerpts, top tips, free trainings, low-ticket offers, upcoming launches, etc.)
- Responding to comments and DMs on social media
Marketing funnels and pipelines:
- Creating and maintaining the forms, tags, email sequences, offers and deadlines
- Looking after the integrations with Deadline Funnel, Meta ads, Google Analytics, and related tools
Launch & Course Periods
During launch periods, there’s more work, but it’s a natural extension of everything else we do:
- Setting up sign-up forms, tags, events and webinars in Kajabi and Zoom
- Updating sales pages and offer deadlines
- Ensuring emails, access and deadlines work exactly as they should
- Sending the Zoom links + recordings to the artists enrolled on the course (weekly)
Editing at least one session per week (recording to be sent to artists on the course)
Promotion & Content Support
You’ll support the visibility of The Art Ladder by helping bring content ideas to life. This includes:
- Editing short-form videos (for Youtube & Instagram Reels)
- Helping us run our Instagram account @ArtistMentoring
- Replying to DMs and comments (following guidelines and tone of voice)
Scheduling posts across Instagram and other platforms
What success in the role looks like
You’ll feel confident managing the backend of The Art Ladder (in Kajabi) and keeping everything running smoothly. Success in the role looks like:
- Artists consistently receive the right emails, links, and reminders at the right time
- Our audience and engagement are growing steadily across social media and email, with content consistently driving sign-ups to the programme and related offers
- Webinars, masterclasses and replays are handled end-to-end without needing close supervision
- You actively keep The Art Ladder’s backend on Kajabi tidy and structured, reducing friction and complexity as the programme grows
- Evergreen funnels function smoothly without constant fixes or tweaks
Our team's time is noticeably freed up to focus on visibility, partnerships, masterclasses and growing the programme to help artists

- Programme platform: Kajabi

- Email: Outlook
- Collaboration & Meetings: Slack, Zoom, Google Drive
- Content Creation: Canva, Word, PowerPoint
- Marketing: Meta Ads, Google Ads, Google Analytics
