At Parker Harris, we’re committed to giving our customers, prospective customers, and the users of our websites an open and honest experience. We work hard to make sure your privacy is respected, and that any data you share with us is carefully looked after.

This policy explains what personal data we collect through theartladder.com, why we collect it, how we use it, who we share it with, how long we keep it, and the rights you have.

Parker Harris Partnership is the “data controller” for your data under UK GDPR. That means we’re the ones responsible for looking after it.

3. What personal data we collect

We only collect personal data that we actually need. Depending on how you interact with us, this may include:

  • Identity data. Your name, and any professional name or artist name you use.
  • Contact data. Your email address.
  • Account data. Login details, purchase history, and course-progress information within your account on The Art Ladder.
  • Financial data. Payment method details (card details are processed directly by Stripe; we do not store card numbers on our own systems).
  • Enquiry and communications data. The content of emails, form submissions, and messages you send us or that we send you.
  • User-generated data. Any comments, reviews, or content you choose to post on our site or on Instagram in response to us.
  • Technical data. Your IP address, browser type, device type, operating system, and information about how you use our website.
  • Marketing preferences. Whether you’ve opted in or out of receiving emails from us, and which topics you’re interested in.
  • Live-session data. If you attend one of our live Zoom sessions, we may retain the public chat log and the attendance report (name + email of who watched, and for how long). Attendees are not recorded on video: our webinars record only the presenter’s screen and audio.

4. How we collect your data

We collect your personal data in three main ways:

  1. Directly from you when you sign up to our email list, purchase a course or membership, book a mentoring session, register for a live session, or contact us.
  2. Automatically through cookies and tracking when you visit theartladder.com or interact with our content on other platforms (Instagram, Facebook).
  3. From third parties in limited situations, such as when you sign up through a partner platform or a referral.

Under UK GDPR, we need a “lawful basis” to process your data. Here’s a summary of what we do and why:

6. Who we share your data with

We work with a small number of trusted third parties who help us run our business. Each of them processes your data on our behalf, and only for the purposes we’ve asked them to.

The main third parties who may process your data are:

  • Kajabi (kajabi.com). Our website, course platform, email system, and A/B testing tool. Kajabi hosts our video content and stores your account data. Kajabi is a US company. Kajabi’s privacy policy.
  • Stripe (stripe.com). Payment processing. We do not store your card details on our own systems; Stripe handles payment securely. Stripe’s privacy policy.
  • Meta Platforms (facebook.com, instagram.com). We use the Meta Pixel on our website to understand which of our ads work and to show relevant advertising to you on Facebook and Instagram. This drops cookies only if you accept them via our cookie banner. Meta’s privacy policy.
  • ManyChat (manychat.com). If you send a keyword like “galleries” to us on Instagram, ManyChat automates our reply so we can send you the link you asked for. ManyChat is a US company. ManyChat’s privacy policy.
  • Deadline Funnel (deadlinefunnel.com). We use Deadline Funnel on some of our landing pages to run time-limited offers. It drops a cookie so we can honour the deadline for you specifically. Deadline Funnel is a US company. Deadline Funnel’s privacy policy.
  • Zoom (zoom.us). If you register for and attend one of our live sessions, Zoom processes your name, email, and attendance information. Zoom is a US company. Zoom’s privacy policy.
  • Google Workspace. We may store customer email addresses in Google Drive as part of our internal workflow. Google is a US-headquartered company. Google’s privacy policy.

We may also share your data with:

  • Professional advisers, including our lawyers, bankers, accountants, auditors, and insurers, where necessary.
  • Government bodies where we’re legally required to report information (for example, HMRC for tax purposes).

We will never sell your personal data to any third party for their own marketing use.

7. How long we keep your data 

We keep your data only for as long as we need it. In practice:

  • Financial and transaction records are kept for 7 years after the end of the tax year in which the transaction took place, as required by HMRC.
  • Customer account data is kept for as long as your account is active with us, plus a reasonable period after you close it (usually up to 2 years) in case you want to come back.
  • Marketing data (email list membership) is kept until you unsubscribe. Once you unsubscribe, we retain a minimal record on our “suppression list” so we don’t accidentally email you again.
  • Prospect and enquiry data (people who signed up but never purchased) is reviewed periodically. If someone hasn’t opened one of our emails or engaged with us in the last 2 to 3 years, we may remove them from our systems.
  • Live-session chat logs and attendance reports are kept for as long as the recording is available in your Art Ladder library.
  • Website analytics and technical data is typically kept for up to 26 months.

If you ask us to delete your data (see section 9), we will do so unless we’re legally required to keep certain records (for example, financial records for HMRC).

8. Your rights 

Under UK GDPR, you have a number of rights over your personal data. You can:

  • Request access to the personal data we hold about you (a “subject access request”).
  • Request correction of any data that is inaccurate or incomplete.
  • Request deletion of your personal data (“right to erasure”), unless we’re legally required to keep it.
  • Object to processing of your data for direct marketing, at any time.
  • Restrict processing of your data in certain circumstances.
  • Request portability of your data (a copy in a machine-readable format).
  • Withdraw consent at any time, where consent was our lawful basis for processing.

9. Cookies 

Our website uses cookies to make it work properly, to understand how visitors use it, and (with your consent) to serve you relevant ads.

The main categories of cookies we use are:

  • Strictly necessary cookies. These make the site work: for example, keeping you logged in, remembering what’s in your basket, and holding your session together. These cookies don’t require your consent.
  • Preference cookies. These remember choices you’ve made, for example which variant of a page you were shown during an A/B test, so your experience stays consistent.
  • Analytics cookies. These help us understand which pages and content perform well, so we can improve.
  • Advertising cookies. These come from Meta (for the Facebook Pixel) and let us measure how our Facebook and Instagram ads perform, and show you relevant ads. These only drop if you accept them via our cookie banner.
  • Third-party cookies. These come from tools like Deadline Funnel (to honour your personal deadline on time-limited offers) and, if you visit a page with embedded content, from services like Instagram or YouTube.

You can control cookies through your browser settings and through our cookie banner. Blocking some cookies may affect how the site works for you.

10. Children 

The Art Ladder is not intended for children.

We do not knowingly collect personal data from anyone under 13.

We don’t target our services or marketing at children.

We don’t ask for your age at sign-up.

If you’re a parent or guardian who believes we’ve collected data from someone under 13, please contact us at [email protected] and we’ll delete it promptly.

11. Keeping your data safe 

Personal information provided on our website and online payment transactions are transmitted through a secure server. We’re committed to handling your personal data with high standards of security. We take reasonable technical and organisational steps to keep your data safe from loss, misuse, or unauthorised access.

Please note that email is not an encrypted method of communication, so we would ask you not to send us sensitive information (such as full payment details) by email.

We may update this policy from time to time as our tools and processes change, or as the law changes. Any updates will be posted on this page and, where the change is significant, we may email you to let you know. The “last updated” date at the top of this page will always tell you when the policy was last changed.
